As an integral member of our team, you will work with the Utilization Manager with scheduling and resourcing for the assurance & advisory service line (Vancouver and Langley) for all client engagements and collaborate with your Resource and Planning Coordinator colleagues on the Tax Team. This role has significant room for growth as you will be exposed to workforce planning, scheduling, cross-service line collaboration and reporting.



As Utilization Coordinator your responsibilities will include:



Resource planning

This role will primarily support scheduling requirement for the Assurance and Advisory Service Lines for South Coastal BC.





- Identify available resources, matching skills with engagement requirements and coordinating engagement staffing with partners, managers, and staff. Where required, facilitate the use of resources from within other functions/areas

- Comparing budget to scheduled hours to flag variances or upcoming constraints

- Responding to change requests in a timely manner and facilitate conflict resolution with respect to staffing

- Monitoring staffing levels on current engagements to anticipate potential resourcing gaps, optimize capacity utilization and coordinate across service line and other offices as needed

- Follow up with team members on their availability and understand when resources will be coming available, flexibility in timing of availability, and team members’ skills and interests

- Help provide opportunities for our team to grow and achieve their goals by maintaining a solid understanding of the teams areas of expertise, skills sets, project experiences and career goals

- Understand engagements that are unstaffed and where it makes sense, deploy resources to other areas outside your group and/or other offices

- Understand non-chargeable hours and their impact on overall utilization

- Maintain accuracy of data with the resource management tool (Prostaff) to ensure that resource forecasts are up-to-date and accurate with available information

- Perform analysis of utilization, scheduled versus budget and actual hours, reviewing time entry and identify developing trends and collaborate with assurance managers to develop a course of action to reduce unassigned hours and achieve planned results

- Provide advanced warning of resource constraints or availability

- Providing support for reporting requirements as necessary

- Assist with planning schedules and headcount requirements for the upcoming year

- Assist with coordination and onboarding of new hires as needed with the People and Culture Team

- Assist with weekly and monthly scheduling meetings with team, managers and partners

- Collaborate with the Western Canada Resource Planning team and National Resourcing Team on best practices and cross-utilization



Professional development and training





- Assist with coordination and tracking of Chartered Public Accountant (“CPA”) requirements at the request and direction of our national CPA Learning and Development team

- Working with our national training and development and quality control groups to coordinate local training sessions, nationally delivered webinars, and local/national seminars and annual competency training

- Following up and reviewing the tracking and reporting of our business unit’s professional development with our Learning and Development team



Other





- Working with the managers and partners to manage client workflow using Sharepoint and scheduling software

- Responsible for data quality and accuracy for all systems (Pro-staff, STAR, Tax Prep etc) used to maintain client and scheduling information

- Other reporting (chargeable hours, productivity reports etc.) as requested

- Assist with special projects across Western Canada Resource Planning team including support during team vacations, adoption of technology and demonstrated ability to manage change and effective collaboration

- Experience using workflow/scheduling software

- Undergraduate degree or equivalent
