Purpose of Role:
The Executive Assistant is a critical member of the Diageo Canada team,
directly supporting the VP/General Manager and assisting in the coordination of the Diageo Toronto office team. Additionally, the Executive Assistant supports the Diageo Western Canada Team with customer administrative needs.
This role is accountable for administrative responsibilities such as coordinating meetings, organizing travel, managing expense reports, scheduling customer and key stakeholder meetings, and assisting with team events. This role additionally supports the Western Canada Sales Team with provincial and customer administrative needs, such as new item and promotional forms.
Key Executive Assistant Responsibilities:
Manage Calendar for the General Manager
Complete and review monthly expense reports
Schedule travel for General Manager
Liase with key stakeholders (internal & external) to schedule important annual meetings such as customer Top 2 Tops, business reviews, & market surveys
Maintain Canada & Toronto office distribution lists
Included in the Crisis Management Team – Manage BCP/CMP documents & Manage the Everbridge system (internal emergency alert system)
Distribute company wide communications to the business on behalf of the leadership team
Assist the Social Engagement Committee with planning internal events
Host Monthly Townhalls & Celebration Calls
Assist with annual training week meeting
Key Sales Coordinator Responsibilities:
Liase with Brand & Innovation teams to manage full new product submission process
Manage relationship with liquor board category administrators across Spirits, RTD & Beer
Create & manage purchase orders as needed
Run & distribute daily orders and National Depletions reports through SAP & Microstrategy
Qualifications and Experience Required
University degree in Business administration a plus
Proficient with Microsoft suite products with strong working knowledge of Excel and PowerPoint
Strong communication skills; excellent written and verbal skills
Self-starter with ability to lead projects and bring along key stakeholders
3-5 years Business experience, preferably in a consumer-packaged goods environment
